Ozarks Christian Academy serves families across West Plains and the surrounding Ozarks. Families researching private and Christian schools in the area were not finding it, and the inquiries that did come in had no system behind them. Victor rebuilt the school's search visibility and put the admissions infrastructure in place to handle what it brought in.
The situation
Ozarks Christian Academy had the program and the reputation, and the search presence had not caught up to either. Families researching private and Christian education in the West Plains area were reaching other results first, and the website had not been set up to compete for those searches.
Admissions ran the way it does at most schools this size, on email, phone calls, and the personal attention of a small staff who know the families by name. A CRM and a defined admissions pipeline had not been built behind that yet, so the record of where each family stood lived with the person handling the conversation. The approach worked at the school's existing volume and left little room to absorb more.
The same was true of measurement. Analytics and search reporting had not been configured, so there was no straightforward way to see what the traffic the site did receive was actually doing.

Victor rebuilt the school's search visibility around the terms families actually use when they are looking for a school, covering site structure, page content, and the technical work behind it. The objective was to reach families early in their search rather than only those who already knew the school by name.
Analytics and Google Search Console reporting were configured so the school could see which searches were bringing families in, which pages they landed on, and what happened after they arrived.
Victor stood up a CRM structured around how admissions actually works at the school, from first contact through enrollment, so contacts, lead sources, and opportunities live in one place instead of across separate inboxes.
The admissions process was mapped into twenty-one stages covering inquiry, tour scheduling, family fit review, pastoral review, testing, acceptance, and enrollment. Seventeen workflows were built to carry it, sixteen of which are running, so a family that reaches out receives an acknowledgement immediately rather than waiting for someone to get to it.
Ozarks Christian Academy now holds the first organic result on Google for the searches local families run when they are looking for a private or Christian school in the West Plains area, and it holds that same first position statewide for classical Christian education in Missouri, which places the academy ahead of longer established schools in St. Louis, Springfield, and Branson.
Overall sessions to the site are up 22.8 percent and users up 28.7 percent, and the growth came through organic search rather than paid placement.
Search Console shows families reaching the academy through searches that never mention it by name, which is the audience the work was built to reach.
Every inquiry now enters a defined pipeline with follow-up that sends on its own, so the academy can absorb the additional interest without adding staff time to manage it.
